When making an ILL Request on ILLiad
- Use the proper ILLiad Request form when submitting a request. Be sure to fill out each form as completely as possible. Use the Notes Field in the request to provide additional information that can help Interlibrary Loan obtain the material needed. Be aware that the Notes Field has limited space, so it is best to keep the Notes as short as possible.
- Type a question mark (?) in any required field if the patron does not have, or cannot find, the information needed for that field. Do not type any information in these required fields that is not correct for that field - i.e. a year in the volume number field - as it can cause the request to be delayed in processing.
- Fill out one request form for each item needed – i.e. one request for each article or book chapter needed - even if they are in the same book, volume or issue of a journal title.
- If the ISSN #, the ISBN # or the OCLC # are known, please be sure to enter these numbers in the appropriate spaces on the ILLiad Request form. This will help to expedite the processing of the request.
- Do not abbreviate the title of journals or books; or if it is already abbreviated, do not “translate” or “guess” the abbreviation. An incorrect “guess” of an abbreviation can result in Interlibrary Loan asking for the article from the wrong journal or getting the wrong book. Please consult with a Reference Librarian to find out what the complete title is.
- Be sure to check the ASU Libraries Catalog to determine that ASU does not own the title needed. This includes checking for both the Electronic and Print version of a Journal Title under Journal Title Lookup.
- Be aware that ASU does own some material in fulltext that is not catalogued individually in the ASU Libraries Catalog. This includes:
- Eric Documents from 1993 to the Present in the ERIC (via CSA Illumina) and the ERIC (via US Department of Education) Databases
- IEEE papers, Conferences and articles published after 1988 in the IEEE Xplore Database
- Dissertations and Theses in fulltext in the Dissertations and Theses Database
- Cochrane Database of Systematic Reviews which are available in fulltext in the Cochrane Library Database
- Use
effectively and efficiently. When searching in Indexes such as Academic Search Premier (EBSCOhost), MLA Bibliography or Medline that are available in the ASU Library Catalog, and the
icon is present in the citations, this function will send a request for the desired material to the ILLiad Request form. - When searching for books in the Worldcat Database, use the
icon to request the item through Interlibrary Loan. This will send the request to the ILLiad Request form. Do not use the ILL button at the top of the Worldcat screen. - Do not type authors or titles of books, journals or articles with the language diacritic marks included. They do not transfer well to the ILLiad Request forms and appear as numbers and symbols, sometimes making the titles impossible to decipher or read. Here is an example of how a title that included diacritic marks appears ILLiad:
- Transfer or type titles and information into an ILLiad Request using only Romanized characters. ILLiad Requests made with Chinese, Japanese or Cyrillic characters are unreadable when transferred to the ILLiad Request form.
