Using ILLiad / Placing A Request

 

My Material Has Arrived

Help!! What Do I Do If...

First Time Users

  • First time users must enter their customer information before they can logon to ILLiad.
  • From the ILLiad Request System page select the "First Time Users!" link to take you to a registration page for first time users. (If you have already used ILLiad, please do not logon as a First Time User again. ILL staff can reset your password or remind you of your username.)
  • Press the button "First Time Users Click Here" at the bottom of the page.
  • A New User Registration Form will appear. Enter as much information as possible. Fill out the required fields (these are in red)!
  • Enter your ASUright ID as your username.
  • Enter your ASUright ID password as your ILLiad password. Please remember your password is case sensitive.
  • After entering your user information press the button "Submit Information" at the bottom of the page.
  • If an error has been made, an error message will appear at the top of the page. If necessary, fix the needed fields and "Submit Information" again.
  • Your Main Menu will then appear.
  • You should now be able to use ILLiad.When you next logon you will need to enter only your username and password ILLiad. Please remember that your password is case sensitive.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Requesting a Book (Loan)

  • Logon using your username and password. The Main Menu for ILLiad will open.
  • Press the button "Request a Book" to open a request form.
  • Enter as much information about the item you are requesting as possible. Required fields include: Author/Editors and Title. The more information given, especially the ISBN or OCLC number, the faster the searching process will be for the Interlibrary Loan staff.
  • If you have additional information, enter that information in the notes field.
  • After entering all the information, press the button "Submit Request". If you have made a mistake, simply edit the field in question. If you have already submitted the request see Editing a Request.
  • The Main Menu will then reappear.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Please remember to submit a request for each item (loan).

Requesting an Article

  • Logon using your username and password. The Main Menu for ILLiad will open.
  • Press the button "Request a Journal Article" to open a request form.
  • Enter as much information about the item you are requesting as possible. Required fields include: Title (of the journal), Inclusive Pages (of the article), and the Article Title. The more information given, especially the ISBN, ISSN or OCLC number, the faster the searching process will be for the Interlibrary Loan staff.
  • If you have additional information, enter that information in the notes field.
  • After entering all the information, press the button "Submit Request" . If you have made a mistake simply edit the field in question. If you have already submitted the request see Editing a Request.
  • The Main Menu will then reappear.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Please remember to submit a request for each item (article).

 

 Changing a Password

  • Logon to the ILLiad system using your current username and password.
  • Once logged on, the Main Menu will appear. Scroll down the page and select the button "Change Password".
  • Enter your current password and your new password.
  • Press the button "Submit Information".
  • The Main Menu will then reappear displaying a message confirming that your password has been successfully changed.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Remember: Passwords are case sensitive.

Changing Your User Information

You can change the following information by choosing "Change User Information":

  • Name
  • ASU ID Number
  • E-Mail Address
  • Daytime Phone Number
  • Campus Affiliation
  • Customer Status
  • Department
  • Physical Delivery Location
  • Tempe Campus Department Office, ASU West Campus, Downtown Phoenix Campus Library & ASU Polytechnic Library Delivery Options

Cancelling a Request

  • Logon to ILLiad using your username and password.
  • Press the button "View/Modify Outstanding Requests" to display your active requests.
  • Select the request that you wish to cancel by pressing the appropriate transaction number button at the left of the page. You will then see detailed information about that request.
  • Press the "Cancel Request" button in the top right hand corner of the page. This will automatically cancel the request.
  • The Main Menu will then reappear displaying a message confirming the cancellation of your request.
  • You can resubmit cancelled requests from the "View/Resubmit Cancelled Requests" button.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Where are my requests? I cannot find them.

There are several different places your requests may be:

  • View/Modify Outstanding Requests -- Use this button to view, edit, or cancel those requests that are still in process.
  • View/Download Electronically Received Articles – use this button to view, print and/or save the articles you received.
  • View Request History -- Use this button to see all your completed requests. Completed requests are photocopies you have already received and loans you have returned.
  • View/Resubmit Cancelled Requests -- Use this button to view or resubmit any request that has been cancelled either by Interlibrary Loan staff or you.
  • If you have trouble locating a request please contact the Interlibrary Loan office at 480-965-3282 or Email: ILL@asu.edu.

View/Download Electronically Received Articles

  • Requests received electronically are posted here for you to view and download.
  • Requests stay here for 90 days from when the article is received.
  • Logon to ILLiad using your username and password.
  • Press the button "View/Download Electronically Received Articles." This will display all the requests that you have available via electronic delivery.
  • Select the request you wish to view/print by pressing the appropriate transaction number button at the left of the page.
  • Read or print the article.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View/Modify Outstanding Requests

  • Outstanding Request(s) are requests still in process. They do not include items that are checked out, cancelled, or articles that you have already received.
  • Logon to ILLiad using your username and password.
  • Press the button "View/Modify Outstanding Requests" . Selecting the appropriate transactions number button for the request to display a detailed information page.
  • From here you may edit the request by changing information or providing additional information. See Editing a Request.
  • You may also check the status of a request by selecting the appropriate transaction number button and scrolling to the bottom of the page. To see an explanation of ILLiad statuses see Explanation of ILLiad Statuses.
  • "Return to the Main Menu" for further transactions.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View Request History

  • Logon to ILLiad using your username and password.
  • Press the button "View Request History" to view all the requests that have been completed (photocopies that have been received and loans that have been returned) using ILLiad.
  • Select the appropriate transaction number button for the request you want to view. You will then see detailed information about that request.
  • This function helps you avoid submitting duplicate requests. It also gives you a list of all the items you have obtained through ILLiad.
  • Return to the Main Menu" for further transactions.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View/Resubmit Cancelled Requests

  • Logon to ILLiad using your username and password.
  • Press the button "View/Resubmit Cancelled Requests" to view all the requests that have been cancelled.
  • Select the appropriate transaction number button for the request you wish to view/resubmit. You will then see detailed information about that request providing the reason for cancellation.
  • You can resubmit the cancelled request by selecting the button "Resubmit Request" at the top right-hand corner of the screen. (You should only resubmit the request if you have more information about the or have had a search done through circulation on an item we own and it has been declared missing.)
  • A request form will open with the request's previous information. Edit what is necessary, then click the button "Submit Request" at the bottom of the page.
  • The Main Menu will then reappear displaying a message confirming that your request has been updated successfully.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Why can't I logon?

There are several reasons you could be having trouble logging on to the ILLiad.

  • If you have entered an incorrect username or password. Passwords are case sensitive. Check the caps lock - did you have the caps lock on when you registered to use the ILLiad Request System?
  • Have you forgotten your username? If you cannot remember your username please call or email the Interlibrary Loan office at 480-965-3282 or ILL@asu.edu . Interlibrary Loan staff members cangive you that information.
  • Have you forgotten your password?
    • On the ILLiad Logon screen, below the "Logon to ILLiad" icon, you will find the question, "Forgot Password?"
    • Click on this link and it will take you to the Forgot Password Screen. Enter your ILLiad Username and click on "Reset Password"
    • An email will be sent to the email account you entered into your ILLiad Profile.
    • In the email for resetting your password, you will be given a link to a webpage where you are to enter your new password twice and click on "Reset Password".
    • This will log you directly into you ILLiad Profile page.
  • If you have pressed the button "Logon to ILLiad" more than once. This slows the system down. Please do not press any button more than once.

How do I check the status of a request?

To check the status of a request follow this procedure:

  • Logon to ILLiad using your username and password.
  • Press the "View/Modify Outstanding Requests" button to view all the requests still in process on ILLiad.
  • Select the appropriate transaction number button for the request you wish to check the status for. You will then see detailed information.
  • Scroll to the bottom of the page.
  • To see an explanation of ILLiad statuses see Explanation of ILLiad Statuses.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Is there a limit to the number of items I may request?

There is currently no limit placed on the number of requests which may be submitted. We do ask that you keep in mind the fact that books may be sent for a limited time without possibility of renewal; please do not request more than you can reasonably use in the time in which they are here.

The book I need is at another ASU Library or held at Storage. How can I get it?

Interlibrary Loan does not request books that are held at other ASU Libraries in any format.  To have these materials pulled, use the ASU Libraries Catalog to request books and media held at another ASU Library.  Items are pulled and delivered to the selected pickup location.  You will be notified when the items are available for pickup.

The book/journal I need is lost, missing, or at the bindery.  How can I get it?


Usually materials owned by the ASU Libraries may not be requested through Interlibrary Loan. However, you may request materials that have been declared missing, lost, damaged, or at the bindery.
You can also request articles from journals held at ASU Campuses other than your own, including journals held at Storage. 
When requesting these materials, please note on the form if the book or journals are damaged, missing or if there are any other problems Interlibrary Loan needs to be aware of.

If you cannot locate the  book or journal on the shelf,  please go to the Circulation Desk in the ASU Library where it is held to request a formal search for the item.
 

How do I request a video?

 

Videos not owned by ASU, may be requested through Interlibrary Loan. Please be aware that most libraries do not loan videos and they may take longer than usual turnaround time to obtain. We cannot request that they arrive at a specified time for a class.

Faculty requesting videos for class use, not owned by ASU but located at UA or NAU must use the media booking form. Please indicate the location (UA or NAU) along with call number in the call number field.

My citation is incomplete, can I still request it?

If you are unable to supply the minimum citation information asked for, please contact ASKaLIBRARIAN for help in verifying your citation or translating abbreviations.
 
It is important that your citation be as accurate as possible and as complete as possible to avoid delays in obtaining your request. Please remember to provide the full journal title and/or association name. If it is impossible to fill in all the required fields use a “?” or “n/a” as necessary and use the Note field to include any additional information you might have. Remember that requests that are very incomplete and missing key elements are unlikely to be able to be processed by staff and/or filled by any lending library.

How do I check the status of a request?


To check the status of a request follow this procedure:

  • Logon to ILLiad using your username and password.
  • Press the "View/Modify Outstanding Requests" button to view all the requests still in process on ILLiad.
  • Select the appropriate transaction number button for the request you wish to check the status for. You will then see detailed information.
  • Scroll to the bottom of the page.

  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

ILLiad uses request statuses to track the various stages a request is in as it moves through the request process.  If you’re curious as to what a specific request status means please view the list below.

Awaiting ALA Processing

This item cannot be requested via OCLC. It will now be processed as an ALA (American Library Association) request and sent via fax, email, or mail to a potential lender

Awaiting Conditional Request Processing

Your ILL request has been sent to a lending library, but the lender has requested that we meet their conditions or inform us of their policies prior to shipping the item. Our ILL office may either agree to the conditions or seek other lenders

Awaiting Customer Contact

This requested item has arrived and has been processed by Interlibrary Loan staff, but we have not yet contacted the customer to inform him/her that the item has arrived

Awaiting Delivery Notification

Your item has arrived but is currently being processed to be delivered to your Tempe Campus Department, Fletcher Circulation Desk, Downtown Phoenix Campus Library or Polytechnic Library.

Awaiting Doc Del Stacks Searching

This requested item is in Document Delivery processing by Interlibrary Loan staff.

Awaiting Request Processing

This requested item has been submitted by the customer and has gone through the copyright clearance process, if necessary. It is now ready to be searched and requested from potential lenders

Awaiting Unfilled Processing

 Your item has arrived but is currently being processed in our office to place on the shelf at the Hayden Interlibrary Loan Counter

Cancelled By Interlibrary Loan Staff

This request has been cancelled by Interlibrary Loan staff. The reason for this cancellation may be found in your Interlibrary Loan account by clicking on the "View/Resubmit Cancelled Requests" button and looking at the detailed information for the cancelled item.
Note: If one of your requests is cancelled by Interlibrary Loan staff, we immediately send you an e-mail message explaining why the item was cancelled.

Customer Notified via E-Mail

Your requested item has arrived, has been processed by the ILL staff, and the customer has been notified of its availability via e-mail that the material is ready to be picked up at the Hayden Interlibrary Loan Counter.

Delivered to Web

The requested article has arrived, has been processed by Interlibrary Loan staff, and has been posted to the customer's personal Interlibrary Loan account page. It may be viewed by clicking on the button labeled "View/Download Electronically Received Articles".

Extensive searching

Interlibrary Loan staff is searching for the requested item using a variety of databases and indexes. A request will be placed when the item has been verified and located

Loans Recalled From the Patron

You have material checked out from Interlibrary Loan that the owning Library wants it back OR the material you have requested through Interlibrary Loan has not yet been picked up or checked out and is now overdue and has been returned to the owning Library

Patron  Notified of Delivery

Your requested item has been processed by the ILL staff and is on its way to your chosen delivery location.

Request Finished

The entire request process has been completed successfully.
Note: Cancelled requests are not at "Request Finished" status and thus do not display under "View Request History". Cancelled requests may be found under the "View/Resubmit Cancelled Requests" button.

Request In Processing

This request is being processed at this moment.

Request Sent

This request has been placed with potential suppliers and Interlibrary Loan is waiting for the item to be shipped by a lender.

 

Tips for getting faster service.

Things You Can Do to Get Your Items Faster

  • Be sure to check the ASU Libraries Catalog to determine that ASU does not own the title you need.
  • Be sure to check any Electronic Journals links in the Journal Title Catalog record to see if ASU owns the volume and issue in an electronic format.
  • Dissertations that ASU does not own – use Dissertations & Theses   database on the ASU Libraries Catalog.

Use GetIt@ASU! effectively and efficiently.

When searching in the Indexes such as  Academic Search Premier (EBSCOhost), MLA Bibliography, or Medline that are available in the ASU General Catalog, and the GetIt@ASU! icon is present in the citations, you are able to use this function to send requests for that desired material to Interlibrary Loan automatically. 
 

Verify that your citation information is accurate.

If you are requesting a publication cited in a bibliography, do not abbreviate the title; or if abbreviated, do not "translate" or “guess” the abbreviation.
If bibliographic information of your request cannot be verified in a standard library resource, or if you have difficulty locating information about a publication, contact the Libraries' reference desk staff for assistance.
Accurately transcribe information about authors, titles, volumes, issues and dates. Include the International Standard Book Number (ISBN) or the International Standard Serial Number (ISSN) when available.
 

Choose the proper request form when submitting your request.


Interlibrary Loan has a request form for most types of items you are requesting.  Using the proper form will help us find the correct item.
Please fill out one request form for each item needed. Do not submit several items on one request form  
Please use the Notes field in the request form to provide additional that can help us in obtaining the item.

Know the current limits of our services.

Every attempt will be made to identify sources that are willing to lend your requested item, but not everything that can be cited is available for Interlibrary Loan.

Class textbooks cannot be requested through Interlibrary Loan. They are very difficult to obtain and cannot be kept for the entire semester. If the bookstore does not have the textbook in stock, please notify the bookstore or your instructor. Requests for textbooks will be cancelled

Material from Electronic journals or sources that require pre-payment cannot be requested through Interlibrary Loan.  Articles that are available electronically, that ASU does not have a subscription to, for a fee will not be supplied by Interlibrary Loan. 

How will I be notified when my materials are here?

When your material arrives you will be notified by e-mail. Please be sure a correct, current e-mail address has been entered in your ILLiad profile when you register for Interlibrary Loan.

How will I receive my material?

When you register for Interlibrary Loan, you will choose a location to receive your materials. The delivery/pick-up location of your material will be included in the email you receive from ILL letting you know the material has arrived.  You can change your delivery preference at any time in your ILLiad profile.

Loans may be received at the following locations:

  • Hold for Pickup at the Hayden Interlibrary Loan Counter.
  • Hold for Pickup at the Fletcher Library Circulation Counter.
  • Hold for Pickup at the Downtown Phoenix Campus Library Circulation Counter.
  • Hold for Pickup at the ASU Polytechnic Library Circulation Desk
  • Delivery to your Tempe Campus Office, (Delivery to a Tempe Campus Office is limited to Faculty, Staff and Graduate Students who have offices on the Tempe Campus).

For Articles:

  • Most articles will be delivered in an electronic format. Items unavailable in electronic formats will be received in the same manner as loans.

Can someone else pick up my material for me?

For someone other than yourself to pick up your Interlibrary Loan material, you need to make them a Proxy on your Library Account and they will need to present a Proxy Card when they come to pick up your material.  You can find information about obtaining a Proxy Card on the Proxy Card form on the ASU Libraries Catalog.

 

How to view/print electronically delivered articles

We can deliver electronically many articles that are sent to us unless they are too big to be scanned, print will not be legible when scanned or have pictures that do not scan well.  Electronically delivered articles are  converted into .PDF format and posted to your ILLiad account. You can then access these articles for 90 days.

To view/print electronically delivered articles:

  • Logon to ILLiad using your username and password.
  • Press the button "View/Download Electronically Received Articles." This will display all the requests that you have available via electronic delivery.
  • Select the request you wish to view/print by pressing the appropriate transaction number button at the left of the page.
  • Read or print the article.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

How long will my article be available online?


Electronically delivered articles will be available for 90 days from the date that they are updated to Delivered to Web.

Can I ask for a renewal on an Interlibrary Loan item?

If renewals are allowed, renewals must be requested on or before the due date. To see if a renewal is possible contact Interlibrary Loan by telephone at 480-965-3282 or email at ILL@asu.edu. Staff members will provide you with the new due date.   You can only renew Interlibrary Loan material once.

Please Note: It is up to the discretion of the lending library to decide how long to extend the due date, if at all. The lending library may decide not to grant a renewal on an item that we have allowed a renewal on. If a renewal is denied or the due date is shorter than originally assigned, you will receive a “Loan Recalled From Patrons” email  instructing you to return the material. Materials must be returned by the due date to avoid fines.
 

Where do I return Interlibrary Loan materials?

 

Interlibrary Library Loan Material may only be returned to the following locations:

The Hayden Library Interlibrary Loan Counter
The Hayden Library Circulation Counter if Interlibrary Loan is
closed. 
The Fletcher Library Circulation Counter
The Downtown Phoenix Campus Library Circulation Counter
The ASU Polytechnic Library Circulation Desk 

DO NOT return Interlibrary Loan materials to any other Branch Library, in a Book Drop, Campus Mail, or by any other Mail Service.  We do not consider material returned until it has been received and checked in at one of the above locations.  Returning Interlibrary Loan material in any other way, or without the bookwrapper can cause the material to be lost or delayed getting back to us and you may incur a late fee.  These late fees will not be excused.

I’ve forgotten my password?

On the ILLiad Logon screen, below the "Logon to ILLiad icon, you will find the question: "Forgot Password?"  

Click on this link and it will take you to the Forgot Password screen. Enter you ILLiad Username and click on "Reset Password".

I’ve accidentally deleted my article and I still need it?


In the event that you accidentally delete an article from this web page, you may undelete articles by: 1) clicking on the 'Undelete Articles' in the left column, 2) call Interlibrary Loan at 480-965-3282 or 3) e-mail us at ill@asu.edu to have them reset. Be sure to include the transaction number.
